Your Windows sticky notes disappeared. Here is how to get them back

You open Sticky Notes on Windows and the notes you wrote are not there. Before you assume they are gone, it helps to know that in most cases they are not. Sticky Notes has a notes list that can hide itself, a close button that no longer deletes, and a sync system tied to your Microsoft account. Each of those can make notes look lost when they are one click away.

Here are the usual causes, the steps Microsoft itself gives for each, and how to make sure it does not happen again. The steps below are for Microsoft Sticky Notes. If you use a different app, the ideas still apply, but the menus will differ.

1. The notes list is hidden

This is the most common one. If Sticky Notes was closed while a single note was open, it can reopen showing only that note, and your list of notes seems to have vanished. Microsoft's fix:

1. Open Sticky Notes.
2. If only one note is showing, click the ellipsis (...) in the upper-right corner of the note.
3. Choose Notes list.
4. Search or scroll to find your note, then double-click it to open it again.

2. You closed a note, and it went back to the list

Older versions of Sticky Notes deleted a note when you clicked its X. Microsoft changed that: clicking the Close icon now closes the note and saves it to your notes list, so you can reopen it later. If a note left the screen after you clicked X, open the notes list as above.

3. You are on a new PC, or signed in with a different account

Sticky Notes only syncs between devices signed in to the same account. After a reinstall, on a new computer, or if you signed in with another Microsoft account, your notes will not appear until the right account is connected. Microsoft's steps:

1. Sign in to Sticky Notes with the Microsoft account you used before.
2. Open Settings from the notes list (the gear in the upper right).
3. Click Sync now.

To check whether your notes ever synced, look for them elsewhere. Microsoft says synced notes appear in OneNote on iPhone, iPad and Android, on the web at onenote.com/stickynotes, and in Outlook on the desktop. If they are there, they are safe, and the problem is only on this PC.

On a work or school account

Microsoft notes that Sticky Notes needs an Exchange Online mailbox for sync and storage on work and school accounts, and that notes are saved in Outlook or Exchange and count against your mailbox quota. If your notes vanished after a change at work, your IT team is the place to ask.

4. A note is stuck at full screen

Sometimes a note grows to fill the screen and hides everything else, including the rest of your notes. Double-click the note's title bar and it returns to its original size, or drag the title bar down.

5. You are looking in the other Sticky Notes

Microsoft now has two Sticky Notes experiences on Windows: the Sticky Notes app, and a newer Sticky Notes built into OneNote for Windows, which you can open with Win + Alt + S or from the OneNote ribbon. If you recently started using one, check the other one too before you go further.

6. The note is on another virtual desktop

Windows 11 can run several virtual desktops, and each window lives on one of them. If you wrote a note on another desktop, it is still there. Press Win + Tab to open Task View and look at each desktop, or switch with Win + Ctrl + Left and Right.

7. The note was deleted

This is the hard one. Microsoft's support pages say it plainly: note deletion is permanent and cannot be undone. You will find guides online that dig into Windows files to try to recover deleted notes. Microsoft does not document those methods, so we will not repeat them here.

What Microsoft does recommend is prevention:

• Turn on confirmation. In Sticky Notes, open Settings from the notes list and set Confirm before deleting to On.
• Keep a copy. If you are signed in and your notes have synced, Microsoft says you can export them from Outlook.com.

How to stop losing notes on Windows

Look back at that list and most causes share one thing: the note lives on the desktop, apart from the work it is about, and you have to go looking for it. The fix is not a tidier desktop. It is a note that shows up on its own when you need it, and that is hard to lose when you do not.

• Notes that come to you. Press Ctrl + Alt + N and the note is tacked to the window in front: a document, a folder, a browser tab. It appears whenever that window is in front, so there is no list to go looking through. We explain how in how to keep a note on top of a window.
• One place to find everything. Ctrl + Alt + B opens TackBoard, with every note and a search across note text, checklist items and voice transcripts. Double-click a card to jump to the note.
• Closing is not deleting. Closed notes go to Recently Closed on TackBoard, which keeps the last 200 with a Restore button on each.
• Saved as you type. Notes are written to disk a moment after each change, encrypted on your PC. They are not kept in a mailbox, so they do not depend on an account or a quota.
• Virtual desktops on purpose. A desktop note can follow you to every desktop or belong to one and return there after a restart. See sticky notes on virtual desktops.
• Backups that travel. Export an encrypted backup, protected by a passphrase you choose, and restore it on Windows or on a Mac.

One honest limit: TackNote cannot import notes from Microsoft Sticky Notes yet, so if you are switching, copy the notes you care about across. And if you need your notes on your phone, Microsoft Sticky Notes syncs to OneNote on mobile, which TackNote for Windows does not do.
